TBMP & Office Manager

WORK SCHEDULE: Full-time, Salaried, Overtime Exempt
REPORTS TO: Executive Director
SUPERVISES: This position does not have supervisory responsibility over staff
SALARY: $49,000 – $51,000, DOE
BENEFITS: Eligible for benefits provided by the employer

POSITION OBJECTIVE

The TBMP & Office Manager is responsible for the efficient operation of the Ketchikan Visitors Bureau’s (KVB) administrative office and the Tourism Best Management Practices program.  This position supports the Executive Director, Board of Directors, and other staff members in their duties; and interacts regularly with members and other stakeholders. The position facilitates participation in KVB programs, events, and activities associated with other KVB departments, and works directly with the Executive Director to develop new initiatives to enhance community experiences and opportunities and to provide excellent service.

PRIMARY RESPONSIBILITIES

Manage TBMP program and KVB office needs including but not limited to:

  • Maintains operations in the admin office and serves as the first point of contact.
  • Answers phone calls, emails, and monitors the TBMP hotline calls and emails.
  • Process accounts payable, create payments, and promptly obtain needed authorizations.
  • Reports TBMP concerns/complaints/compliments, shares the comment with the mentioned tour operators or business, and provides the community member’s contact information to the business.  
  • Update records in various databases maintained by KVB & TBMP.  
  • Monitor types of TBMP concerns monthly to determine if any specific trends are developing. 
  • Maintain annual KVB and TBMP guidelines. 
  • Maintain TBMP member list with current contact information.
  • Promote visibility of the TBMP program by interacting with the media and local representatives during meetings and events. 
  • Stay informed of community public announcements, DOT projects, schedules, and impacts, operator meetings with City and Borough permit programs, and more, to distribute to the TBMP member list.

SECONDARY RESPONSIBILITIES

  • Assist other team members with project or program assistance on an as-needed basis.
  • Represent KVB at community meetings and events that are relevant or as requested by the Executive Director.

QUALIFICATIONS

  • The qualified candidate should be reliable, self-motivated, kind, and possess the ability to deal with people at all levels of contact. They should enjoy an office setting and working with a team.
  • Demonstrate Strong organizational and communications skills.
  • Comfortable and confident public speaker.
  • Possesses above-average competency with computer programs such as Microsoft Office suite and understands content management services.
  • Website oversight experience is highly desired.
  • Quickbooks experience preferred.
  • Licensed driver with the vehicle. 
  • Ability to travel as needed for educational or trade purposes.
  • Will be required to sign a conflict of interest and confidentiality affidavits.

WORK ENVIRONMENT

Ketchikan Visitors Bureau is a non-profit organization that can employ up to five full-time, year-round staff and five seasonal staff. The seasonal staff and Visitor Services Manager work in the visitor centers at Berth 2 and Berth 3, while all other staff work from the administrative office at 50 Front Street in downtown Ketchikan. The KVB is a business/business casual office environment. 

All full-time staff participate in periodic after-hours and weekend events.
